Remote Access in Tally.ERP 9

The concept of 'remote' arose from the limitations on business owners and staff from traditional software systems that seriously restricted what could be done, when it could be initiated and by whom, from outside their offices and factories. More often than not when a business closed for the day its data was effectively locked. (The same effect when the owner went home or travelled outside the city.) The revolutionary Remote Access in Tally.ERP 9 makes regular functions available outside the physical confines of the premises.

How Remote Access works:

Imagine you need to access your data when you're not in the office. Tally.ERP 9 Remote Access lets you field supplier calls from home (or any place else with an Internet connection), check Bank balances, view your financial commitments and check on receipts due before making a commitment to pay. It even allows you to review entries posted and make necessary corrections. Or keep personal books of accounts at a separate location and access them when it's convenient… for office-augmenting ability, nothing beats Tally.ERP 9.

All it requires is that you start up your company and make it available to a specific user, who can then access the data from his/her copy of Tally software (which can even be the free-of-cost Educational version) after furnishing his/her user name and password.

Remote Access, Authentication and User Management

You will allow Remote Access only to those who have the required security clearance. The basic principles of security are Identity, Authentication & Authorisation.

• Identity – who are you?
• Authentication – you prove your Identity
• Authorisation – you are permitted to do 'something' based on your confirmed identity

The Tally.NET ID is the user's Identity, Tally.NET servers Authenticate the user as being a valid user; you decide what the user is authorised to do.

Identity Services

A Tally.NET user is 'disconnected' from specific data – created and residing on the Tally.NET servers. An organisation using, say, Tally.ERP 9 Gold can create up to 10 such users - from within Tally.ERP 9.

Authentication Services

As these identities are maintained centrally, they are guaranteed to be unique for all users of Tally.NET. These users can also be granted access to any company which is connected to Tally.NET (in any license on Tally.ERP 9) across the world and – whether these companies are created by you or by a business associate.

When such a user attempts to log in to a particular company, the authentication of his identity is performed via the Internet – remotely.

Authorisation

Authorisation is NOT performed by Tally.NET. This is under your control: you decide if someone has access, you decide what he has access to. As stated before, you would probably want to restrict what each remote user will be allowed to do on your data – this is done as you would with a 'normal' user (see Security & Access Control).

Local Data – Tally.NET User

A Tally.NET user has several advantages even if data access is local – this means that the data is available at his physical location. The user authentication will be provided by Tally.NET instead of locally – this has several advantages:

You may have many branches, all of them connected to Tally.NET. You create a Tally.NET identity at the HO. The branches authorise access to the companies created in their installations of Tally.ERP 9, to this user.

• Whenever this person travels to the branches, he uses a common username/password to login to such authorised companies.
• If the user needs to change his password, he needs to do this at only one place.
• If the user needs to be removed, this needs to be done only from the location where the identity was created.

In case the Tally.NET user has additional rights associated (this is what the Tally.NET IDs of the Tally.ERP 9 - Auditors' Edition will have), these additional rights will be inherited and will be available to such a user who can access data locally as well!

Remote Data – using Tally.ERP Educational Application

To truly deliver anywhere remote user capabilities, all remote facilities are available from Tally.ERP Educational – a free download – making no difference to a remote user whether he is on a licensed or on an educational version. With an active Internet connectivity, field personnel can become remote users from a cyber cafe, an Internet enabled notebook or from their homes.
